02 Case Studies — Detailed accounts of three completed engagements

Case Study 01 · Bilingual Correspondence

Challenge

A Montréal professional services office with 22 staff was sending bilingual correspondence that varied significantly in structure and tone. French letters opened differently from English ones, and internal review of outgoing mail was consuming time without producing consistent results.

Solution

Three sessions over four weeks developed a house style addressing both languages simultaneously. Five sample letters from the team were reviewed and used to shape the guide. A template set of twelve messages was produced in FR and EN, covering the office's most frequent communication types.

Outcome

Internal review time for outgoing correspondence dropped by roughly half within the first month. Staff reported using the guide independently rather than requesting approval on individual letters. The managing partner noted that client correspondence now presents a consistent voice across the team.

Case Study 02 · Records Management

Challenge

A non-profit in Gatineau with 14 full-time staff had accumulated twelve years of records across shared drives, email archives, and physical files with no consistent classification. New staff could not locate documents without asking a long-serving colleague.

Solution

An inventory of existing holdings in Weeks 1 and 2 produced a clear picture of what was held, where, and in what condition. A classification framework was designed around the actual holdings and a staged migration was sequenced to avoid disrupting active files during the six-week delivery period.

Outcome

Staff onboarding time was reduced noticeably: a new coordinator found the files she needed without assistance during her second week. The written operating note and annual review routine gave the organisation a clear maintenance path without external input after handover.

Case Study 03 · Process Advisory

Challenge

A municipal body in the greater Montréal region with four administrative departments found that approval processes regularly exceeded the expected timeline by two to three business days. The delay was absorbed informally and was not visible at the leadership level until a quarterly review identified the pattern.

Solution

Stakeholder interviews with twelve staff across the four departments produced a map of the actual approval sequence, including the informal steps that extended the formal process. Two workshops identified three specific handover points as the primary sources of delay and produced a revised sequence that all four department leads endorsed.

Outcome

The revised sequence was implemented over the month following the leadership presentation. Average approval time across the four departments dropped to within the original expected range within six weeks. The three monthly measures defined during the advisory continue to be reviewed at leadership level.
